How to send Club or Customer emails

The first part of this article explains the various ways in VinesOS that you can send mail campaigns. The second part, below, explains how to connect your Mailchimp account.

Selecting Customers or Members for Campaigns

There are several ways to filter orders, members, or clubs for targeted email notifications.  

Filter on order status

On the Orders page, you can filter on order status such as invalid, hold for pick-up, etc.

  1. On your VinesOS dashboard, navigate to Orders

  2. Select the filter or combination of filters you want to use.

  3. If the filters selected return orders, an 'Email' button will be at the top of the page. If the filters selected don't return orders, there won't be an 'Email' button at the top of the page.

  4. No need to select each customer, all customers displayed will receive the email.

  5. If you only want select customers to receive the email, then place a check in the box to the left.

  6. When you click 'Email', an email dialog box will appear allowing you to enter the email body/text.

  7. It's always a good idea to test the email before sending it to the masses.

  8.  For the 'mail merge' type functionality, use the following in the email body. This will insert each customer's name or club name in the email.

  9. If you have templates set up you can select a template at the bottom of the page instead of using the Campaigns dropdown. 

  10. Click 'Send' to send the email to the selected customers.

[:first_name] for user Customer first name
[:club_name] for user Club name
If a member belongs to more than one club and you use [:club_name] in the email, it will include both club names in the email.

Send an email to club members

  1. On your VinesOS dashboard, navigate to Clubs/Members.

  2. Select Member type (Club)

  3. Member Status - Active

  4. If you don't select specific members, by default all members that show in the list will be emailed. If you want to email just some,  select which members you want to email. 

  5. Enter the 'Subject'  - This is the subject line for the email.

  6. The body of the email is designed to insert the recipient's first name, [:first_name], and their club name. [:club_name]. These are placeholders, so you can edit and use them to create your message if you choose to embed those from the database. For example, if your club name is 'Signature Club' and you enter [:club_name] in the email, it will send out to the member and put in the name of their club, such as 'Signature Club'. NOTE: If members belong to more than one club, it will be put in all club names. Edit the document to anything you want, and use the toolbar to format your text. 

  7. Send this first as a test to yourself or a test club and ensure it comes through as intended.

  8. Once you've reviewed it, click "Send"

  9. See below for "Sent Email"

Send an Email to your Customers based on purchases or loyalty

To send an email to your customers, first go to Customers > Loyalty. Filter to find the list you are looking for, such as your top 5% of customers based on lifetime value.

  1. On your VinesOS dashboard, navigate to Customers/Loyalty.  

  2. Select Loyalty - for example, 5%. This will filter for your top 5% of customers based on lifetime value.

  3. Click - Submit

  4. Enter the 'Subject' - This is the subject line for the email.

  5. For the body of the email, you can customize by using the tags [:first_name] and club name. [:club_name].  NOTE: if a customer belongs to more than one club it will insert all club names. 

  6. Send this first as a test to yourself or a test club and ensure it comes through as intended.

  7. Once you've reviewed it, click "Send"

Sent Email

Sent emails are archived for your records.  To view sent emails, navigate to Notifications/Terms / Email.  From here you can click on any of the listed emails to review the contents of any email sent to members.

Pricing

This feature includes 500 emails/month.  Additional emails can be added for much less than the cost of Mailchimp or Constant Contact. There is a fee for this as we use a third-party email server, which is Mandrill, Mailchimp's email server. See our Email pricing and comparison. 

MailChimp Integration

  1. From your VinesOS dashboard, navigate to Notifications/Terms, then Mail.

  2. Click on MailChimp settings, at the top.

  3. On the MailChimp Setting page, you'll enter your API and List ID. You will need to get this from Mailchimp.

  4. Please be sure to click Save.

Once your MailChimp account is connected to VOS mail, you're ready to start sending out emails.  From the Orders list, or Members or Customers, first filter for the customers you want to add to Mailchimp. Scroll to the bottom and you will see a tab 'Use Template'.

Choose the MailChimp tab at the bottom of the email section, and then choose the campaign. This will ADD whatever emails are in the filtered list to the Mailchimp list that is associated with this campaign. Note: If you don't initially see one of your Mailchimp campaigns in the dropdown campaign section, click the 'Refresh Mailchimp' button, which will retrieve all of your recent campaigns from Mailchimp.
