Option 1: Send all data to OpenEdge for import and tokenization

  1. To prepare your spreadsheet, use Google Sheets.  Do NOT use Microsoft Excel. (Read how it can change the last numbers to zero.)
  2. Download this sample file. You can also find this in your Dashboard when it's ready at  > Club > Members > Import   Choose Download sample.  Note: Your computer may download this file as MS Excel file, but when you launch Google Sheets and do a File->Open, and point to the downloaded file, it will be converted to a Google Spreadsheet.
  3. When you open the sample CSV file, make sure you see each cell separately. IF you see all the cells joined together in one cell with commas, let us know and we will help. There's a format recognition issue.
  4. Enter all your member data, or copy and paste from another program, into the respective columns.  Do not change any COLUMN HEADING NAMES. 
  5. IF you have members in more than one club, ADD a new column with the heading 'club_id' for each club.  In other words, if the member belongs to three clubs, you would add two new columns, each with the header  'club_id' and put in the club ID for each club they belong to. 
  6. See section below if you are importing GIFT MEMBERSHIPS.
  7. Include yourself as a test member, with a real credit card, so it can be tested after imported. 
  8. When done check and double check the data for integrity. Garbage in = garbage out ;-) so it has to be properly formatted. 
  9. Save the document as a .CSV file. 
  10. PLEASE... DO NOT EMAIL THIS DOCUMENT TO US. If you need us to review anything, schedule a screenshare call with us. 
  11. Note that credit cards will be updated directly to OpenEdge. Do not email us or anyone else this document, especially with credit cards. This would be a violation of the terms of our agreement and is not PCI compliant and poses a security risk. 
  12. Update the "CLUB ID" in the Club section of Vines OS. Go to Wine club manager.
    Click on the name of each wine club to open up the details page. Enter the Club ID (the same that you use in the first column to represent the club name, e.g, "2 Bottle Club". This will be in the first column for every member of that club.
    Update this for each wine club and Save.
  13. Contact Anna at OpenEdge by email (do NOT email the spreadsheet) to ask her for a secure transmittal of the file to them. She will instruct you how to encrypt and deliver the file securely. Let us know using the chat icon when you have completed this step so we can help monitor progress.  THIS STEP CAN TAKE AT LEAST A WEEK. LET ANNA KNOW IF YOU NEED IT EXPEDITED.
  14. Once it is safely imported and tested you should follow PCI rules to destroy the copy of the cards, or make sure it is compliantly handled. 
  15. When we are notified by OpenEdge that the import is completed, we will have the data synced in Vines OS and we will let you know. 
  16. When the member data is imported, do a test order using your own member account to verify the transaction goes through to OpenEdge and to your bank. 

Be sure to confirm with OpenEdge:

  1. Decline minimizer is turned on for your account.
  2. IMPORTANT: Ask OE to confirm you don't have any Zero dollar batches before you go live. If you've done testing and voided orders, make sure you don't have zero dollar batches as it will generate errors when you launch. 

Option 2: Send only card data to OpenEdge for import and tokenization and import import members to Vines OS WITHOUT card data

  1. Prepare a spreadsheet with EMAIL address and credit card credentials. 
  2. Contact Anna at OpenEdge by email (do NOT email the spreadsheet) to ask her for a secure transmittal of the file to them. She will instruct you how to encrypt and deliver the file securely. Let us know using the chat icon when you have completed this step so we can help monitor progress.  THIS STEP CAN TAKE AT LEAST A WEEK. LET ANNA KNOW IF YOU NEED IT EXPEDITED.
  3. To import your members WITHOUT any credit card data in it, first, check the entire file and make sure all the data is consistent and that you are not missing any required fields. Make sure there are NO credit cards on this file that you are importing. We will MAP this using the email address, to the token file we get from OpenEdge. 
  4. Export it to your computer as a .csv file.  MUST BE ".CSV".
  5. Login and go to  Web Updates > Uploads
  6. Click New Document in top right.
  7. Click "Choose File" 
  8. Navigate to your folder on your computer and select it.
    Then hit the green "Upload"  button.
    Once completed, let us know so we can review your data.  

Be sure to confirm with OpenEdge:

Gift Membership Import

  1. Enter Giftee details in lastname firstname email fields (first 3 columns)   
  2. Enter either the credit card or token of the Gifter in the field "cc_number" "cc_type", "cc_exp_month" and "cc_exp_year" OR  enter payment_alias. 
  3. In Column "gift" enter Yes
  4. In Column "# remaining": Enter the number of gift clubs left to fulfill (eg, if prepaid for 5 shipments, enter 05, if ongoing gift club membership, enter 0. 
  5. In Column "Gift billing email":  enter the email of the gift giver. Gift club receipts are sent to this email. The giftee will receive an email on club processing, and it does not include pricing, just what is in the order.

    We  tokenize the credit card that will be associated with the (gifted) member account, but because it is marked as a gift account, we do not store the token for use with any online purchases that the gifted member would make, we just use it for the ongoing club fee. If the gifted member logs in and makes an order, that credit card will be stored for the members future orders, but is not used for the gifted club releases.
