How to import member details.

This process typically involves two parts, including importing member details and then transferring the credit card tokens from your old merchant processor to Stripe.

Import Members

  1. To prepare your Member spreadsheet for upload, we recommend using Google Sheets. We have a sample spreadsheet file available that you can use.

  2. Open this sample file. Click on 'File' in the upper left corner and scroll down the list and click 'Make a Copy'. Replace 'VinesOS' in the title with your company name.

  3. Enter all of your member data or copy and paste it from another program into the respective columns in the spreadsheet. Complete all of the columns that have bold headings. You can change the order of the column headings in the spreadsheet, but you CAN NOT change any COLUMN HEADING FIELD NAMES. 

  4. If you have members in more than one club, add a new column with the heading 'club_id' for each club. In other words, if the member belongs to three clubs, you would add two new columns, each with the header 'club_id', and put in the club ID for each club they belong to. 

  5. Include yourself as a test member, using a real credit card, so it can be tested after being imported. 

  6. When done double-check the data for integrity; please scroll through the spreadsheet and look for any data irregularities such as a missing email address (which is required...if you don't see one, make one up such as member123@yourdomain.com), shipping address, missing club name, etc.

  7. Do not enter credit card details. Note that credit cards will be updated directly to the Merchant Processor. In the column, cc_number, leave it masked or input the last 4 digits. For example: xxxxxxxxxx3495. Do not email us or anyone else this document, especially with credit cards. This would be a violation of our Terms of Agreement, is not PCI compliant, and poses a security risk. 

  8. Share the Google Sheet with info@vinesos.com and notify the team once completed.

  9. Enter the 'Club ID' from your spreadsheet into each of your clubs in VinesOS. From the VinesOS sidebar, go to Club > Wine Clubs and click on each wine club name that is listed, which will open up the club details page. Scroll down to the Club ID field and enter the ID (e.g., 2 Bottle Club) from the Club ID column in the import spreadsheet. Go through each of your clubs and enter the respective unique Club ID for each club from the spreadsheet. Save the page.
