Your MailChimp account can be integrated with VinesOS, enabling easy syncing of customers and members, plus the ability to filter by customer purchasing behavior and sync to Mailchimp campaigns.
There are various ways in which you can use the integration to send emails from VinesOS.
Selecting Customers or Members for Campaigns
You can send mail campaigns using VinesOS in several ways, including filtering by orders, members, or clubs for targeted email notifications.
Using a Mailchimp Template
To add existing customers to Mailchimp, go to CRM → Loyalty. Apply filters for the customers you want to add, or leave the filters unrestricted.
Scroll below the customer list and click Use Template, next to Vines OS Email.
In the Campaigns dropdown, select a Mailchimp campaign associated with your intended audience. Then click Add Members To List. The selected campaign determines which Mailchimp audience receives the contacts.
This adds contacts to Mailchimp; it does not send the campaign.
Sending Emails based on Order Status
On the Orders page, you can filter on order status such as invalid, hold for pick-up, etc.
On your VinesOS dashboard, navigate to Orders
Select the filter or combination of filters you want to use.
If the filters selected return orders, there will be an 'Email' button at the top of the page. If the filters selected don't return an order, there won't be an 'Email' button at the top of the page.
No need to select each customer, since all customers displayed will receive the email. If you only want select customers to receive the email, then place a check in the box in front of their names to the left.
When you click 'Email', an email dialog box will appear allowing you to enter the email body/text.
It's always a good idea to test the email before sending it to the masses.
For 'mail merge' type functionality, use the following in the email body. This will insert each customer's name or club name in the email.
If you have templates set up you can select a template at the bottom of the page instead of using the Campaigns dropdown.
Click 'Send' to send the email to the selected customers.
[:first_name] for user Customer first name
[:club_name] for user Club name
If a member belongs to more than one club and you use [:club_name] in the email, it will include BOTH club names in the email.
Sending Emails to Club Members
On your VinesOS dashboard, navigate to Clubs > Members
Select Member type (Club)
Member Status: Active
If you don't select specific members, by default all members that show in the list will be emailed. If you want to email select customers, choose which members you want to email.
Enter the 'Subject' (this is the subject line for the email)
The body of the email is designed to insert the recipient's first name, [:first_name], and their club name. [:club_name]. These are placeholders, so you can edit and use them to create your message if you choose to embed those from the database. For example, if your club name is "Signature Club" and you enter [:club_name] in the email, it will send out to the member and put in the name of their club, such as "Signature Club". NOTE: If members belong to more than one club, it will insert all club names. Edit the document to anything you want, and use the toolbar to format your text.
Send this first as a test to yourself or a test club and make sure it comes through as intended.
Once you've reviewed it, click 'Send'
Sending Emails Based on Purchases or Loyalty
Go to CRM > Customers > Loyalty. Filter to find the criteria that you are looking for, such as your top 5% of customers based on lifetime value. Then, click 'Submit'.
Enter the 'Subject' (this is the subject line for the email).
For the body of the email, you can customize by using the tags [:first_name] and club name. [:club_name]. NOTE: if a customer belongs to more than one club it will insert all club names.
Send this first as a test to yourself or a test club and make sure it comes through as intended.
Once you've reviewed it, click 'Send'
Sent Emails Archive
Sent emails are archived for your records. To view sent emails, navigate to Notifications/Terms > Email. From here you can click on any of the listed emails to review the contents of any email sent to members.
The following List ID instructions apply to Lists mode, which uses audience IDs. If you have enabled Use Tags, follow “Automatically sync members and customers to Mailchimp using Tags” instead.
Automatically Add Club Members to Mailchimp Lists
You can integrate unique Mailchimp audience IDs into your clubs so that existing and new members are automatically added or removed. This option allows you to pull your existing club members and any new club members that are added to corresponding audience contact lists in your Mailchimp account.
Use the following steps to set this up:
1. From the VinesOS sidebar, go to Notifications/Terms > Email
2. On the Email page, click the blue Mailchimp Settings button at the top of the page
3. On the MailChimp Setting page you'll enter your API and List ID. You will need to get this from Mailchimp. Please be sure to click 'Save'.
4. Next, on each of your club management pages, there is a field called 'Mailchimp List ID'. You can use that field to enter a Mailchimp List ID (aka Audience ID) from one of your Mailchimp lists.
Note - this is a unique ID specific to each of your Mailchimp audiences within your Mailchimp account, and it is NOT the same list ID that you entered in step #3 above.
This Mailchimp article describes how to find your Mailchimp Audience (List) ID.
When you add this ID to a club and then save the changes. All of the existing members of that club will be automatically pulled into your respective audience contact list over at your Mailchimp account. Additionally, any new members who subscribe to that club going forward will also be automatically added to that same Mailchimp audience list. When a member cancels, they will be automatically removed from the list.

Create Mailchimp Lists from Orders, Event Registrations, and POS Purchases
Easily segment your different types of VinesOS customers into unique Mailchimp lists. This can be done for VinesOS eCommerce orders, event registrations, and POS purchases. Depending on the integrations you have configured, the following will apply:
eCommerce Orders: When an online order is completed, the customer's email address is automatically saved to Mailchimp. These emails can then be used for targeted email campaigns, promotions, or personalized product recommendations.
Events: When an event registration order is completed, those event attendees are added to Mailchimp, and you can then send them event updates, exclusive offers, or post-event follow-up surveys to gather feedback and improve future events.
POS: When a POS order is completed, the customer's email address is saved to a tasting room list. This list can be used to send promotions, special offers, or event invitations to customers who have previously made on-site purchases.
Club: When a new member joins one of your clubs, they are added to the club audience list in Mailchimp. This can be set up on a per-club basis automatically.
Mailchimp Audience Lists Setup
First, if you haven't already done so, you will want to establish your Mailchimp audience list(s) in your Mailchimp account. This Mailchimp article describes how to find your Mailchimp Audience (List) ID.
Next, input your Mailchimp List IDs in VinesOS. From the VinesOS sidebar, go to Settings > General Settings, and in the Search bar at the top of the page, type in 'Mailchimp'. Doing so will pull up the relevant Mailchimp fields as follows:
From there you can enter your unique Mailchimp audience List IDs from your Mailchimp account into each separate field. If you prefer to send all of these customers to a single default List ID at Mailchimp, you can do that too. Just copy the same List ID from your Mailchimp account into each of the fields. Then save the page.
