How to setup, manage, redeem, and view balances for gift cards

You can offer gift cards for sale online, which can be redeemed on your VinesOS site or the POS. Customers will be able to select on your shop page whether they want an eGift card emailed immediately or to have a physical, printed card mailed out (if you wish to offer the mailed option).

General Configuration for Shop

From the sidebar menu, go to Products > Gift Cards and click on the default gift card that was installed with your site.


On the gift card edit page, you can adjust elements like title, description, image, start/end date, min/max, etc.

Scroll to the bottom of this Gift Card edit page and check the box, 'Include the option of mailed cards' if you want to include a mailed card as an option. Order your custom gift cards complete with your branding and design. You can also bring over your gift cards and use them with the VinesOS system.

On the shop page, customers will be able to select whether they want an eGift card delivered by email or a printed card mailed to the recipient (if you selected that as an option above).

General Configuration for POS

Pick-Up Gift Card

In addition to e-gift and mailed cards, you can offer Gift Cards for pickup on the POS. All sites are installed with a default gift card that can be edited by clicking the pencil icon in the upper right-hand corner of the product.


Test the Pick-Up Card

  1. If you are testing physical gift cards you have on hand, toggle on 'Plastic Card' and enter the string of digits on the back of the gift card.

2. Then checkout with the Stripe Test Card:

3. Attempt to purchase a test product and checkout with the gift card number purchased above.

4. Ensure the amount on the gift card is applied to the order.

Gift Card Dashboard

The gift card dashboard displays all gift cards purchased and shows a variety of details including gift card number, recipient details, buyer details, amount redeemed, and balance.

Navigate to > Products > Gift Cards > Gift Card Dashboard

***IF YOU NEED TO IMPORT PAST PURCHASED GIFT CARDS:

If you are migrating from another system, you can import gift cards purchased that still have a balance; however, this should only be done once. The gift card should be removed from the legacy platform you are moving from so the customer cannot use it twice. To import your past purchased gift cards, open the VinesOS Gift Card Import Sheet. The import will be limited to pertinent details like gift card number, balance, and date. This document is View Only. You will need to make a copy, rename it, and share it with the VinesOS team.

On the sheet, it's important to keep the top row, and not change the heading names. Items can be put into different columns; you can move them around but keep the header the same. Once completed, please email and share this Google Sheet to info@vinesos.com. The team will import your past purchased gift cards and then you will be able to view and manage them in the Gift Card Dashboard.

Managing Gift Card Dashboard

Gift Cards by Mail
When an order is received requesting that the Gift Card be mailed, Admin will be alerted to this request in three ways:

1. The Order Received email notification that is sent to Admin for new orders, will include an embedded alert in red, '* Action required: Enclose gift card with order'.

2. In the Dashboard, the Orders List page will include a 'Processed to Mail' designation under the Order Status column, for all orders that require the Gift Card to be mailed.

3. The Order Detail page, under the Shipping section, includes a message in red,
'*Gift card: To be mailed'

4. You will create the gift card, and send the gift card along with your stationery or card, including the gift note on the order. Before you send it out, enter the unique gift card number from the physical gift card into the Gift Card Dashboard. Click in the field 'Enter Card Code'.

Ecards - The customer will receive an email with the code that can be used online or in the tasting room. These e-gift cards will be emailed immediately upon checkout.

1. In the Dashboard, the Orders List page will include a 'Processed Delivery email' designation under the Order Status column, for all orders that automatically issued the Gift Cards via email.

2. In addition to the eCard being automatically emailed, the system also automatically assigns a unique gift card number/code.

Gift Recipient Checkout Experience

During online checkout, a customer with a gift card will simply enter the gift card number during checkout. For eCards, they will enter the number on the e-gift certificate. If the total in the cart is less than the value of the gift card, there will be a balance remaining on the card.  If the total in the cart is greater than the value of the gift card, a balance will be due to complete the purchase.

Customers can check the balance remaining on a gift card while on the checkout page.
