If you have a table that wants to split its bill between two or more persons, this article explains the various options and steps for doing so within the POS. Also covered is the process for issuing refunds.
Splitting the Bill
Step 1. Once you have added all of the line items to the order, click the Print button to print the first fully itemized bill.
Next, click the Hold Order button, enter the customer identifier, click the Update button, and deliver the bill, as normal.
Step 2. When the billfold or receipt comes back with multiple credit cards for payment, open the order again to checkout. For tables that wish to split their bill, there will be three options presented: Manually, Evenly, and By Items. Select the preferred option.
Split Manually
In the split bill window, you can Split Manually to add as many separate bills as needed and for different amounts. The total remaining will be displayed in each new bill that you add, making it easy to see how much is left of the original total that needs to be billed.
Enter the number, and hit Split to create the individual orders.
Split Evenly
If splitting the bill evenly, the system will prompt you to enter the number of payees to split the bill between.
Split By Items
When this option is selected, you will build out each bill separately from a window that lists all of the items from the bill. To create the first bill, select the number of each item that the first customer will be paying for, then click the 'Add Split' button. A new window will open allowing you to create the second bill. Continue adding to create this next bill, then click the 'Add Split' button. If there are any remaining items to be allocated, a third split bill window will open, and so on, until all items have been allocated.
As you create each split bill, you will see the bills appear in the background. That way you can view what items and how many have already been allocated to the other bills.
If you split the bill into more than three separate bills, another row will fill in.
Complete checkout for each separate bill, and click Credit Card > Auth Only. Then, swipe the card.
Notes
- If accepting cash and you have a cash drawer open, click the Cash option. Similarly, if you have a gift card, click Gift Card.
- Once you have created a split bill, you cannot further modify the order (i.e., no adding additional items, no modifying discounts, etc.)
Step 3. Once authorized, the checkout display will indicate that the transaction is authorized by showing the final Capture button, and will display the last 4 digits of the credit card. This is what you will reference later to close it and apply the tip to the right card.
NOTE: You must come back and do the final Capture and enter the tip amount within 48 hours or you risk losing the pending authorization and you will not be able to capture the sale. This is true for all authorizations.
Next, click Print Receipt to print out the authorization/signature receipt. The last four of the credit card captured will be displayed in the checkout display and on the printed receipt, so you know what receipt to give to which customer.
The suggested gratuity will be based on the total for each bill.
Repeat this process for each separate bill. Click the Hold button at the top of the screen to hold the order. Take the printed receipts back to the table for each customer to enter tip amounts, final totals, and signatures.
Step 4. When you return to open the held order, click Checkout to open the bills. Using the matching last four of the credit card, enter the tip amount that is going to be charged for each card. Next, click the Capture button to charge the final amount in each bill.
Print the final receipts (showing the tip amount) and take those receipts back to the table.
Split Bill Refund
To partially or fully refund a split bill, follow these steps:
1. On the split bill screen, for each bill in the order a 'Refund' button will appear after each card is charged. Click the button.
2. In the Refund popup window, enter the amount to refund. The balance shown will adjust automatically. Then, click the green Refund button to apply the refunded amount.
3. Next, the bill will display a new yellow button with the dollar amount of the refund to be applied to the bill. Click this yellow refund button that includes the amount. Repeat for each bill, as needed. Example:
4. The refund can be confirmed in the amended order in the Dashboard, at the bottom of the order details page. The refunded amount and the last 4 of the credit card where the refund was issued to are included. Example:
