Shipping and Pickup Settings

Settings per product, set shipping carrier, taxes, discounts, flat rate, services, labels, reports

Updated this week

Contact VinesOS to convey whether you plan to allow shipping, local delivery, and/or a pickup option for your orders.

There are a few different options for shipping on VinesOS. You can configure it to ship with FedEx, UPS, or GLS, including rate lookup based on your negotiated rates, and the ability to generate a label and track it through fulfillment. The GLS best rate option will provide you with the benefit of more economical shipping costs with GLS, plus broader area coverage with FedEx or UPS. We also have direct integrations with a few 3rd party shippers.

Read more details below and click on the collapsible sections for set-up instructions.

Set General Settings for Shipping Carrier and Local Delivery

Go to Settings > General Settings, then click the 'Shipping' tab.

Shipping Carrier Settings

Shipping Carrier: If you are shipping, you must select either Manual, UPS, or FedEx from the dropdown.

Manual: The Manual option pulls rates directly from a shipping table you manually complete. The table includes separate rows for the number of bottles shipped, the weight and dimensions, and a flat price for each state you ship to. For example, set the rate you want to charge based on the number of items in the order for each state you ship to. For example: 3 bottles to California for $25, 3 bottles to New York for $40, etc.

UPS: Get calculated rates for UPS based on your negotiated agreement and print labels, notify the customer of the tracking information, and track it through delivery.

FedEx: Get calculated rates for FedEx based on your negotiated agreement and print labels, notify the customer of the tracking information, and track it through delivery. Label printing requires an extra step to get verification and approval of the label by FedEx.

GLS: GLS can be used in conjunction with FedEx or UPS. If the order is shipping to where GLS can ship, it will apply the GLS rates and create a GLS label. If the zip code is not in a GLS shipping zone, the rates and label will be generated for UPS or FedEx depending on your configuration. The calculated rates for GLS are based on your negotiated agreement and print labels. Notify the customer of the tracking information, and track the shipment through to delivery.

GLS + Manual option: If you want to ship with GLS, you can do so with the Manual option above. For any state you ship to that GLS does not ship to, you can set a manual rate for delivery.

Local Delivery Settings

Scroll past the Shipping Carriers, and toggle on 'Local Delivery' if you want to offer this to your customers. Apply fees and a note that customers will see on checkout.

General Settings for Shipping Mode, Adult Delivery, Curbside Pickup

Shipping Modes: Select the allowed shipping modes (i.e., 2-day, Overnight, or Ground) that you want to offer shipping rates for.
If selecting more than one option in the list - For Windows: Hold down the control (ctrl) button and click your mouse cursor to select multiple options. For Mac: Hold down the command button to select multiple options.

Default Shipping Mode: Based on the various allowed shipping modes you selected in the previous step, select your default shipping mode.

Adult delivery: Make sure adult delivery confirmation is toggled on so the rate and label are correct. With this option enabled, shipments containing alcohol products (e.g., wine, spirits, beer, bundles with alcohol, etc.) will require an adult signature at delivery.

Curbside pickup

1. Go to Settings > Settings

2. Search for 'Curbside'
2. Toggle on 'Allow curbside pickup'.

On Checkout, if your customers choose Pickup, they will see this option. Your phone number will be listed for them to call when they arrive.

If you would like to modify the default curbside message that is included in the email sent to your customers, please follow these steps:

The curbside message can be adjusted in the Snippet section of VinesOS.
1. Navigate to Web Updates > Web Pages, and then filter the Article Type for 'Snippet'

2. In the list of snippets, look for the snippet called __curbside_note. Click that snippet and then make your edits to the existing message.

Note: If you do not see the '__curbside_note' in the list of available Snippets, you need to add that snippet.

Handling fees

The handling fee is optional. We recommend that you keep the shipping costs as low as possible. (Note: The shipping cost is the #1 reason for cart abandonment and club cancellations).

If you want to add a handling fee, enter the amount in the available column in the shipping table for each row, based on the number of items in the cart.

Product Settings for States, Tax, Shipping Discounts, and Pickup Locations

Go to Dashboard > Settings > and choose the product type. For example, select Wine as the product (or Bundle, Beer, Spirits, Food, etc.). For wine, configure the following...

Active States

Toggle on all of the states that you ship to.

State Tax

Please send us a message by chat if you would like our tax rate tables by Avalara or a ShipCompliant Direct Lite account.

Age Requirement

The default is set to 21 years old. Update if needed.

Shipping Discounts:

Create a shipping setting for members only. Include shipping if they purchase a certain dollar amount or quantity.

Create a flat rate $ or % discount for members or guest customers. This can be applied for products: wine and bundles.

Scroll further to apply shipping discounts by club type. You can apply different discounts based on the club tier. Add a row to include more tiers. Include states and tax rates if shipping is taxed in particular states.

Disable shipping for a product category or individual products

There are different options available for disabling/enabling shipping. This can be done for an entire product class (e.g., wine vs. spirits vs. merchandise) or a specific product. Depending on the options selected and your other configured settings, disabling shipping may leave other fulfillment options available, such as pickup and/or local delivery.

Disable Shipping for a Product Category

To disable or enable shipping at the product type level, go to Dashboard > Settings and select the product category (e.g., Wines). Scroll down the page and look for the 'Disable Shipping' option. Toggle on or off for the product category as default

Disable Shipping for an Individual Item

To disable or enable shipping for an individual item, go to Products and click on the individual product to edit. Scroll down the page or search at the top for 'Override default shipping', and place a checkmark for yes if you want to disable shipping. Then, check the Yes option to Disable Shipping for this item. Save your settings.

If an order has an item that can ship and one that can not ship

If an item set to 'Disable shipping' has been added to the cart, it will indicate 'This item is not eligible for shipping' and there will be no Shipping fields on the checkout form. If a product is in the cart that is eligible for shipping, the shipping field will still not be displayed. If the item(s) that cannot ship are removed from the checkout, the shipping field will then appear again.

Pickup locations

Add if you offer more than one pickup location. Set the tax for each location. If using Revel, set the POS that this will report into for inventory and order reporting. Learn more.

Managing Multiple Locations with Shipping and PickUp

Set shipping and pickup options for each location in your Dashboard. Read through this article.

***Please note! For each location, the settings are as follows:
Pickup: Select 'yes' if customers can pick up orders at this location. If 'yes', then this location (i.e., title name) will be displayed as a pickup location option on the e-commerce checkout page and the club sign-up form. Inventory will be pulled from this location for orders picked up from the location with this IP address.

Shipping: Only set this on for one location. If this is toggled on, all orders that are shipped will pull inventory from this location. If club orders ship from a different location, it can be specified below in Cub Shipping.

Club Shipping: Only set this on for one location. If this is toggled on, all shipped club orders will pull inventory from this location. (Club orders for pickup will pull inventory from the location that the member set to pick up from. The Club sign-up page will show the options for the locations where pick-up is toggled on. The inventory will be pulled from that member's specified location.)
