General settings to get your POS ready for launch.

Confirm the hardware has been ordered

In your initial contract, the following hardware should have been ordered: Stripe terminals, cash drawer, iPad dock, receipt printer, etc. You can review all hardware available through VinesOS here.

PIN access and General Settings for POS Staff

Set up Staff/Manager User Access

Vines POS ensures discrete, secure transactions through the use of secure logins and auto-logoff rules. All staff and managers using the POS are issued a PIN and that PIN is required to create new orders. After completion of an order or after a period of sixty seconds of inactivity, the employee is automatically logged out of the POS system.

To get to your PIN pad sign-in page for the POS, you will need to add /pos/poslogin after your VinesOS page URL.
For example, https://mywinery.vinesos.com/pos/poslogin

General Settings for POS Staff

To set up a manager or staff account for your POS system, in the VinesOS sidebar, click on Settings > Manage Users. Create a new user or click on an existing user to set up a POS PIN access and related permissions. For the POS specifically, add the following:


1. Role. Make sure the user role for all POS users is set to 'Maintainer'.

2. PIN Code. Create a secure, numeric PIN code for the user.

3. POS IP. The PIN pad access to the POS is directly tied to the IP Address where it is being used. That is, for each user account, the IP Address must be added for the location where they are using the POS. This number can be entered manually or you can click on the 'My IP' button to grab the current IP Address (automatically detected for the network you are on), but only if that is the actual IP that this specific user will be logging in from. Additional IP Addresses can be added and labeled, then you must click the Plus (+) button to add them.
If you are manually adding an IP Address, and the user needs to identify their IP Address, they can obtain it by searching for 'what's my IP" in their browser:

Tip: If after setup, the user is having problems logging into the POS with their PIN, the most common issue is that their IP Address has been refreshed and changed by their Internet Service Provider (ISP). This IP Address update can happen often if their ISP has them on a dynamic IP Address. The first thing they should do at this point is reverify that their network IP Address is still the same as the one entered in their VinesOS user profile. This IP check needs to be confirmed on the same device that they are logging in from on the POS. If they discover that their IP Address is different, then the updated IP Address will need to be added to their VinesOS profile. Then save the page and try the PIN login again.


4. POS Permission. Set the permission level for the user to either Manager or Staff.
Important Note - Users granted the Staff permission will NOT have the ability to see or access the VinesOS console (via the black admin bar situated at the top of the POS).

5. POS Discount and Surcharge. Checking the POS Discount and/or Surcharge box will grant this particular user the ability to apply discounts and surcharges to customer orders through the Modify button in the POS. These options will display or not in the Modify pop-up window, based on your selections.

Important Note - Under normal circumstances, the blue Modify button may not be needed by staff, since the POS will automatically apply customer discounts to the POS order. For example, when you are adding wines to the customer's order through the POS, and you click on the 'Customers' button and select the customer from the list, it's going to pull in the appropriate discount for that member based on the customer's membership level and according to the discounts previously set in VinesOS.

6. Enable price override. This option will allow this user to override a price within the POS for a specific customer transaction. Once enabled, add wine to the POS cart, click on the wine price, then input the override price and click Apply.

Configure POS Settings

In the sidebar, go to POS > Settings.

To complete your setup, you will need to enter information from your Stripe terminal into your Settings page within VinesOS. You will also have the option to toggle on general settings like tipping and scroll furher to enable happy hour settings.

Add Terminal


Add Terminal Description

If you have more than one terminal, please note that in the description field in VinesOS, name your terminal something that will be obvious on checkout (e.g., Winebar, Retail, etc.). This way, your staff will know which terminal the order is being sent to. Required field.

Add Activation Code

Enter the activation code from the terminal unit in order to pair VinesOS with your terminal. Required field.


Optional POS Settings

Continue in POS > Settings and scroll down below the Add Terminal options.

Add Tips on Terminal

Toggle this on if you'd like to show tips accrued through the POS. The tips are tied directly to the staff member that is logged in through their PIN. For all completed transactions where a tip was recorded, those tips will show in the Tip Report, which can be exported.

Hold pre-authorize

Toggle on this setting if want to further reduce the risk of lost payments, improve your customer experience, and increase the speed of checkout, you can pre-authorize credit cards to hold orders. Capturing the credit card while you are holding the order ensures that if the customer does leave before having paid, you already have the card authorized and can complete the checkout process.

Restrict Orders to Staff

Toggle on this option if you want staff members to only see their open orders.

Lock tip to Staff - Created Order

Toggle on this setting if you want logged out staff members to still receive the tip after their shift to if they started the order.

Enable Comp Flights

Toggle on this setting if you want the option of offering your customers a complimentary tasting flight. When you add the flight to the order, and then click the Comp icon, a modal window will pop up and you can set the number of flights to Comp.

Show Identifier on Receipt

Toggle on this setting if you would like customer identifiers that have been entered to hold orders to appear on printed receipts. ie Table #

Charge CRV on POS

Toggle on if you are located in CA and want to pass along CRV fee for bottles-to-go and pickup orders.

Auto-close complete order pop-up on email receipt

Toggle on if you would like to automatically return to the POS homescreen after a customer chooses to have the receipt emailed. If you do not toggle this button on, you will receive a prompt to print after you have emailed the receipt (which may lead to an unnecessary step for your staff).

Order Tenders

Track inventory that leaves your tasting room at no cost. In POS>Settings, use the default list of options at checkout like, "damaged", "donations", and "samples". You can customize the menu by adding or deleting items that suit your business needs. The system will save historical data even if you delete a tender.

Happy Hour Discounts

(IF YOU DO NOT SEE this on your installation, please ask us to install it for you).

1. Select the day(s) of the week and time period(s) for your happy hours.
If you need to temporarily turn off a happy hour special (e.g., during a holiday when your business is closed), uncheck the box next to that day. Your entries will be conveniently saved for later. If you need to remove an entry, click the 'Remove' link.

To set or update a time slot, click on the time field. The clock window will open. Select AM or PM, the hour, and then finally the minutes. When you click on the minutes, the clock will close and your selections will be set into the field:


2. Select the type of discount (i.e., $ Off or % Off or a Flat-rate price):

3. Set the primary category to glass, bottle, bottle to go, or Any:

4. Set a second category if applicable:

Next, you will need to enable the product(s) that you want the happy hour specials to apply to in the POS. Please follow these steps.

Cash Drawer

Set Up Cash Drawer

A 'Cash drawer' on Vines OS is specifically tied to the device that opens the drawer. Cash payments can only be taken if the device is set up to have a cash drawer. 'Virtual cash drawers', such as staff aprons, can also be set up.

First, the cash drawer needs to be enabled.

Go to POS > Drawers > and click New Drawer on the top right menu.

Name the drawer so it is recognizable to the staff who will be opening the cash till.

Save.

Repeat for each cash drawer.

Set up to Auto Open the Cash Drawer on a Cash Sale

1. Go to POS > Settings

2. In the Receipt Printer section, go to the Auto open Cash Drawer dropdown and

set to Pin 2 or 5.


After this is set, when you do a POS cash tender and print the receipt, it will pop open the cash drawer.
