Manage Inventory for a Single Location
For a complete inventory view, go to Dashboard > Inventory.
Inventory Statuses
Statuses that track tasting room pours to the ounce (optional):
If you plan to track inventory down to the ounce in your tasting room, ensure you have entered the correct information while setting up flights, tastings, glass pours.
Opened: The number of bottles recorded by staff as opened for pouring in the tasting room.
Poured: The total amount ordered via the POS screen (including complimentary) for flights, tastings, and glass pours.
Discarded: The amount of reserved wine left in the bottle or could be broken bottles, etc., that staff records as the discarded amount throughout the day.
Variance: The difference between open bottles and wines poured plus the discarded amount.
Opened and discarded bottles are recorded on the POS home screen. First, the staff member clicks 'Open Bottle'.
The staff member can record all open bottles in the tasting room throughout the day and click 'Save.' At the end of the day, the staff member can add discarded amounts of each bottle and click 'Save'.
The open, poured, discarded, and variance for each product are easy to view in the inventory window.
Statuses related to orders:
Active: Any club active order or POS active order that is unpaid
Paid/Pickup: Orders that have been paid and are set to 'hold for pickup'.
Layaway: Any club active order or POS active order, plus processed hold for pickup orders (ecommerce, club, or POS).
For Sale: The number of items available for sale. Click the blue number to see its detailed inventory depletion.
Total: Total = Layaway + For Sale
Stocktake: Stocktake will always reflect the same quantity displayed in the Total column, except the Stocktake column is editable.
Manage Inventory
You can take a daily stocktake by entering a Note (ex: Jan 2 Stocktake) and entering the quantities counted for each product. Hit Save.
Manage Inventory for Multiple Locations
If you are going to need multiple locations to manage your inventory, contact support@vinesos.com to enable.
To manage locations and product inventory, go to Dashboard > Inventory. In the upper right-hand corner, select 'Locations'.
In the Locations Manager window, you will be able to add all of the locations where you manage your inventory. You can also delete locations in this window as well. Click on the 'New Location' button in the upper right-hand corner.
In the individual location settings:
Title: Mandatory field. Enter a name that your staff will easily recognize.
IP Address: This is not a mandatory field, but if you want the POS to default to a specific IP address, you can enter it here.
Ship Address: Address of the location you are setting.
Pickup: Multiple locations can have this toggled on. Allow customers to pick up their orders (club and/or e-commerce) from this location.
Shipping: Multiple locations CAN NOT have this toggled on. Only one location can fulfill e-commerce orders for shipping. Please toggle on the preferred location for shipping.
Club Shipping: Multiple locations CAN NOT have this toggled on. Only one location can fulfill club orders for shipping. Please toggle on the preferred location for shipping.
Show on POS: Toggle on this selection if you want the location to appear as an option in the drop-down selection for operating your POS. On the POS, this will appear toward the bottom of the screen:
Manage Inventory Between Multiple Locations
To manage your product inventory, go to Dashboard > Inventory. From the main Inventory page, click the yellow button for the product that you want to adjust inventory for.
This will open a new window called Update Inventory from which you can adjust the product's inventory. In that window, you will see three tabs: Transfer, Receive, Waste. Click on the tab that you want to work with to make your inventory updates.
Receive Inventory
To receive inventory for a location, enter the quantity that you are receiving into the location, add your optional note in the 'Note' field, and then click the 'Update' button.
Once the window closes, back on the main Inventory page you will see the adjusted numbers. Please note that this is based on the location that you are filtering for in the filters at the top of the page, so please adjust accordingly. To view a transactional history of the updates for a product, click on the link under the For Sale column. Each transaction is captured on a separate row with details including the adjusted amount, date stamp, included notes, etc.
Add inventory for multiple wines at a time
1. Use the 'Search' field to search for the first wine, and enter the number to receive.
2. Continue using the search field to pull up wines, and enter the amounts to receive.
3. Add your Note in the 'Note' field, then click Save to receive all of the wines at once.
Waste Inventory
To waste inventory for a location, enter the quantity that you are wasting into the location, add your optional note in the 'Note' field, and then click the 'Update' button.
Once the window closes, back on the main Inventory page you will see the adjusted numbers. Please note that this is based on the location that you are filtering for in the filters at the top of the page, so please adjust accordingly. To view a transactional history of the updates for a product, click on the link under the For Sale column. Each transaction is captured on a separate row with details including the adjusted amount, date stamp, included notes, etc.
Transfer Inventory
To move inventory from one location to another:
1. Place a checkmark in front of both locations, then for the location you are moving inventory to, type in the updated amount. For example, let's say location San Jose currently has 100 bottles in stock, and location Paso Robles has 10 bottles. If you wanted to move 5 bottles from SJ to PR, you would update the PR location inventory number to 15. When you click out of that field, the other location's inventory will automatically adjust to show 95 in stock.
2. Add an optional note to the Note field to document the change (e.g., Transferred Oct 31)
3. Click the 'Update' button
