How to allow customers to modify club orders after it's been set up

First, make sure you have set up to enable Customer choice clubs. You will be processing your custom clubs following the instructions below. 

NOTE: Read through to the bottom of this page to take note of minimum bottle OR minimum dollar amount requirements. Once those have been set, please ensure that you create the club orders before you invite your members to log in and customize their orders.

When you are ready to allow your members the option to customize their club orders, and you have paused the club processing process:

  1. Send members an email letting them know what's in the club and provide a deadline to customize the order.

  2. Members will log in and go to their Account page. At the bottom, they will see the upcoming shipment, listed as the name that you set for the Club Release, and a 'Customize' button. The member can then customize their order, making additions and changes. If their choices do not meet the minimum requirement as set on the Club management page, they will see an error message that indicates what is required. 

  3. When it's time to process, go back into the club shipment that you created earlier, and any orders that have been customized will appear with an asterisk. 

  4. Click the 'Process' button and all member credit cards will be charged, based on the customized order. 

Minimum Number of Items Required

If you have previously established a minimum number of bottles required for your club releases, then members who are customizing their club order must keep to the requirements you have set up. To clarify, this bottle minimum is set within each club, at the bottom of the page in the Club Requirement section. Please go through each of your clubs and make sure that all of them have a minimum number of bottles set - IF that is your preference. This should be set up before you process your clubs.

NOTE: In the console or at the POS, the club order can be created by admin with a different amount than what is set as the minimum required in the club. The logged-in member will see and be held to the minimum required amount, but only the admin will have the flexibility to change what is in the order, so if it is a special order you can make any needed changes.

Minimum Order amount for Customer Choice:

If you have a minimum dollar amount that must be spent for each custom order, you can set that during the club release processing step. When you create the club release, there is a field in the section "Club Requirements" where you can enter the minimum value of the custom order.  For example, where it says requires 'Any 6 items', you could set a minimum spend of $300 so that a member cannot just purchase six $20 bottles.
NOTE: This will override the minimum bottle requirement set on the club page.

This value is before tax or shipping but after the discount.  If a member attempts to modify an order, but the discounted total is less than the dollar amount set here, an alert will indicate the minimum amount of the order that is needed.

Filter and Process customized orders and original open orders

When you are ready to process the orders, you can filter to process just the original, non-customized orders, and filter to see and process just the customized orders. This video outlines the steps to do this, and also reviews how to manage newly created orders when members join in between club runs.

NOTE:

If you are auto-creating orders for new members on signup and doing customer choice clubs, you can set the order to be created but to be kept active. Then, just modify your new member welcome email to include details on how and when to customize their order. The new order will be created for the LATEST club release that has been created, so if it is an ACTIVE club release, the new member will receive that order to modify instead of the last month's processed club release.
