Cancelling or Changing a Gift Club Membership

If you need to cancel or change an ongoing gift club membership, please follow these steps.

Automated Process

Upon the final club release order for the gifted club member, the system will automatically remove the gifted member from the club (i.e., the club will become unchecked in their account) and re-assign them as a regular customer in the CRM section. For continuity and reporting, the status of the customer account will remain active (but as a customer, not a member). This status needs to remain 'active', so please do not uncheck the active checkbox.

Manually Cancel Gift Club

To manually cancel a gifted club membership properly, follow these steps:

  1. Search for and open the Gifted member account

  2. Uncheck the Gift Membership checkbox

  3. Save the member record, then reopen it

  4. Uncheck the current Club Membership

  5. Optional: Enter the cancellation date and reason

  6. Save the record

The member is no longer in the gifted club, and the gift givers' credit card will no longer be charged for the gift membership. This customer will now be found in the CRM section when adding a customer to an order, but will not be eligible for member discounts.ย 
โ€‹IMPORTANT: The above will work to prevent any further charges so long as you have not already created the orders for the next club release. IF the orders have already been created, you will need to find that member's gift order and delete it before processing.

Change Gift Club

If you want to update (change) a Gift Club Membership from one wine club to a different club, follow these steps:
1. Uncheck the current club checkbox and the 'Gift membership' box, then Save the page.

2. Search for the customer in the CRM > Customers page. Click to edit customer.

3. In the customer record, select the new club and recheck the 'Gift membership' checkbox, then Save the page.

If you are using Revel

Please don't cancel the membership on Revel. This will cause account issues on Vines OS. Rather, follow the Cancel Gift Club steps listed above. and the customer will still be found on Revel when adding a customer to an order.
