How to get greater creative control over your email notification templates

The VinesOS Email Builder gives you the flexibility to design your automated system emails to include the details as well as the look and feel you want. It provides an intuitive interface with many options to control your email notifications. New elements can be easily added, such as images, titles, text, and buttons, and each can be arranged and managed with precision in each template.

Enable Advanced Email

If you would like to have the advanced email builder feature enabled, please contact Support and request that we enable that for you.

Working with Email Notifications

IMPORTANT: We strongly recommend that - at least until you have become familiar with the advanced email builder - you initially work with a non-essential (i.e., rarely used) notification template, such as the 'Pickup order voided email so you learn how to use it before setting it live for real-world customers. Keep in mind that any changes that you save (including those you save/preview) are saved immediately to the template, and hence those saved changes can make their way to your customers and staff when the system notification is normally triggered. In other words, be mindful of the changes that you are saving for the templates that you are editing, and always send yourself a preview. If you don't like it, you can reset it to the Default.

Once the advanced email feature is enabled, go to your Notifications page. From the sidebar, click on Notifications/Terms > Notifications, then select the notification template that you want to edit.

Editing the Subject Line

Your subject line for each notification template comes with a default message including some common variables. However, you can set the subject line for each notification to whatever you want. Just click the Edit button in the Subject line area and begin editing.

You can easily remove and add variables (e.g., Club Name, Site Name, etc.) from the list below. To add a variable, first, click your cursor into the subject line where you want to place the variable, then click on the variable you want from the list and it will populate the subject line. Once you are done, click Save.

Editing the Body Content

In the notification template, when you hover over the content, various icons appear throughout the page.

The icons are interactive, and clicking on each performs a specific action in the template area where the icon is clicked.

Plus (+) Icon
The plus icon allows you to add new elements in a multi-step process:

1. Click the + icon
2. Choose the number of columns for your new content. You can add and arrange new content elements into single or multiple columns.
3. Click the 'Add Widget' button. Different widgets can be added to your new columns.
4. Choose the widget type. Select what type of content to add. If you want to add an image, click the 'Image' widget. There are both standard and custom widget types to choose from.
5. Begin working with your new content. For example, if you added a title widget, type out your new title. If an image widget was added, you could now upload an image.

Attributes

Additionally, selecting either the Title or Text widget will enable you to access specific Attributes from the editor, and you can insert those into the body of your content. For example, selecting the 'Club Name' attribute will automatically insert the club name for each club member when the notification is sent out.


Trash Icon
The trash icon allows you to delete an existing element.

Pencil Icon
The pencil icon allows you to edit the margins around an existing element. For example, if you wanted to increase the margin space to the left of an image, you could experiment by adding 5 in the margin left box.

Please Note: Not all sections of the email notification templates are editable. These include certain tables of system-generated content that will remain a static part of the email template. For example, the content sections noted below in the template are not editable:

Using System Tags

As you can see above, there are various system tags included in most of the notifications, like [[our_ecommerce_phone]]. These should generally be left alone, as they are pulling specific system information, such as the customer's name. That said, you can also use these system tags as needed in your notification content. Just be sure to include the formatting as you see it (i.e., the same double brackets included at the ends and underscores _ between multiple words). As with any other change, please send yourself a preview of the email to ensure that everything is coming through as expected from your changes.

Saving, Sending Preview, Restore to Default

Once you have completed your edits, you have a few choices available at the bottom of the notification. You can 'Save' if you are done. You can 'Save and Send Preview' if you want to save and also preview the notification (by sending an email). You can 'Restore to Default', which will discard all changes made and revert back to the original default version.


If you are making substantial changes to the template or even just adding an image, it is highly recommended that you email yourself a preview copy. Click the 'Save and Send Preview' button to do this, and enter your email address. You can optionally include a test customer and test club or order number in the preview for a test reference. Then, click Send. The test email notification will be sent to the email address that you entered. Please preview your changes. If everything looks good, then you are done, and there is nothing more to do. If you see something that needs further correction, continue editing the template.

Please practice working with the features of the advanced email builder to get familiar with it before saving any changes.

You can use Source code from another email program by adding a Widget and choosing Custom Code.

Rejected Emails

If a notification email, such as a Welcome Email, bounces due to an incorrect email address, the record will appear in the Rejected Emails section. A list of email addresses with the subject line of the attempted email will be provided. Details are provided to help you correct the error. For instance: "The email account that you tried to reach does not exist. Please try double-checking the recipient's email address for typos or unnecessary spaces". You can filter by a date range as well.
Please Note: The Rejected Emails feature only reflects those newly bounced emails from the date of the installation of this feature into your VinesOS console. In other words, you will not see any past bounced email history prior to the installation of this feature.
